JOB OPPORTUNITY - Contracts Coordinator

Scope
Provides legal review and counsel for vendor and contractor requests for proposal.  Identifies areas of concern or legal issues before issues occur, reviewing contracts to insure USSEC is compliant with funding source parameters and that the contracts are accurate and complete before let to contracting parties for execution.  Provides specific information to various operating units within USSEC as contract provisions are met.
Accountabilities
Acceptance of submitted requests for proposal: Receives RFP’s via established administrative procedures after contract(s) have been officially logged in.
Review Process                Working with regional directors and other USSEC personal, works to understand the general premise of the contract, i.e. criticality, timing, funding sources, etc.  to insure timely review of the document.  Provides recommended changes to the document noting the changes and initialing said changes for management review.  Will forward recommendations to the project manager or director for approval and then finalizes changes and sends the revised and / or approved without changes to the vendor / contractor for their signature.
Monitoring of Contract Status:  Maintains an accurate accounting of contracts and their status reporting as necessary to the regional director / managers to insure all contracts remain within contractual parameter and funding source compliance.
Regular communication with internal staff: Provide program vendors with suggestions for workflow improvements, enhancements, and other feedback to further customize product to organization’s specific needs and accomplish program priorities and goals.  Coordinate meetings with staff and vendor representatives to discuss progress, resolve issues, and provide status updates.
Negotiating: When necessary in the contract process, be responsible for researching and negotiating in USSEC’s behalf to meet compliance & company standards.
Managing the entire contract process: Coordinate the follow up with contract compliance issues internally and externally and take responsibility for the entire contract process with includes making sure all required signatures are received and documents are filed correctly.
Prerequisite Education & Experience

  • Doctor of Juris Prudence or Master’s degree in business
  • 4 years’ work experience in an legal environment, some international experience a plus

  • Ability to collaborate with others on projects work across organizational boundaries to drive program results.
  • Prior experience using Microsoft Word, Excel, Outlook, and Access are preferred.
  • Ability to work effectively with multi-nationals.
